Create & Manage Items
Learn how to create, organize, and manage products in Prosessed AI.
Overview
Items represent the products you buy, sell, or store in your business.
Before creating orders or managing inventory, you must first create items.
Each item can include:
- Pricing
- Stock details
- Tax settings
- Units of measurement
Create a New Item
- Go to Stock → Items
- Click on Add New
- Enter the following details:
Basic Information
- Item Name
- Item Code (unique identifier)
- Item Group
Item Type
Select the type of item:
- Stock Item → Physical product with inventory
- Non-Stock Item → Services (e.g., Delivery Charges)
Units of Measurement (UOM)
Define how the item is sold or stored.
Examples:
- pcs (pieces)
- carton
- kg
You can also set:
- Default UOM
- Conversion (e.g., 1 carton = 24 pcs)
Pricing
Set the selling price of the item:
- Standard selling rate
- Price list (if applicable)
This ensures correct pricing during order creation.
Inventory Details (For Stock Items)
If item is a stock item:
- Set opening stock
- Assign warehouse
- Track quantity
Optional:
- Batch tracking
- Expiry date
Tax Settings
Assign tax details:
- GST / VAT category
- Tax template (if applicable)
This ensures accurate invoicing.
Save the Item
Once all details are added:
- Click Save
- Item is ready for use in orders
Manage Existing Items
To update an item:
- Go to Items List
- Open item
- Click Edit
- Update details and save
Common Updates
- Price changes
- UOM adjustments
- Stock updates
- Tax changes
Item Status
- Active → Can be used in transactions
- Disabled → Cannot be used
Best Practices
- Use clear and consistent item names
- Maintain unique item codes
- Set correct UOM and conversions
- Keep pricing updated
- Avoid duplicate items
Common Issues
- Item not showing → Check if saved and active
- Wrong pricing → Verify price list
- Stock mismatch → Check inventory settings
- Cannot sell item → Ensure it is enabled

Item Group: Snacks
UOM: carton (1 carton = 24 pcs)
Price: $96 per carton
